AGM and Reunion 2009

In conjunction with the Chairman, I am planning the 2009 Reunion and AGM in the Midlands, to the north east of Birmingham. As part of our handover as events organizer, the Chairman joined me in a recce of the Armed Forces Memorial at the National Memorial Arboretum, Alrewas. We agreed that a visit to the Memorial would be an appropriate end to the weekend so a number of events are being put together for the Sunday morning, including an opportunity to attend the daily service held in the Chapel.

Initially, we looked at two hotels that, from their websites, seemed promising. One was similar to hotels we have used in the past, eg in Leamington and Newquay, but its function suite is being re-built next spring. The other was in the charming town of Lichfield, which would have made a very good base for the weekend. However, the charges would have been exorbitant and the management displayed no flexibility or even real desire to host what we judged they saw as a small event when they could host a wedding with 100 or more covers. Therefore, we reviewed and selected the Ramada Hotel, Tamworth, (Link opens in new window) which is not actually in Tamworth, but seven miles north east at Junction 11 of the M42. They have offered a good price for the Saturday evening dinner and a large discount to their normal price for B&B, which they will make available to anybody wanting to arrive on Friday 8 May or depart on Monday 11 May.

Though not in a town, communications in the vicinity of the hotel are good and other visitor attractions are quite local for those wishing to extend their stay. For example: Burton on Trent and its Brewery Museum is 10 miles; Lichfield and its Cathedral is 20 miles; the ancestral home of the Earls of Lichfield at Shugborough Hall is about 25 miles (from personal experience I can recommend a visit there); the battlefield of Bosworth is about 10 miles and they look to have a good visitor centre (unfortunately it was closed when I got there).

The Programme.

The programme is almost finalised, but the outline plan is:

1600 - 1700 AGM at the hotel
1830 Pre-Dinner drinks
1930 Dinner

Sun 10 May

As Required – breakfast, check-out and travel to the National Memorial Arboretum at Alrewas (allow 30 mins and you will need £2.00 for parking)
1100 - 1130 Daily Act of Remembrance in the Chapel 
1130 - 1145 Proceed to Armed Forces Memorial
1145 - 1200 Gathering at the Armed Forces Memorial + possible wreath laying 
1200 - 1300 View Sqn trees, Coastal Command benches and the Shackleton Memorial .

1300 Lunch, of your choosing , in the Café.
As Required – Further viewing of Arboretum and Sqn trees
As Required - Departure

Accommodation. The Ramada Hotel at Tamworth, bed and breakfast £48 per room for double or twin occupancy or £45 for single occupancy on the Saturday night. This price applies on the Friday and Sunday nights as well for those wishing to arrive early or depart later. Attendees will be responsible for settling their own bills on departure. I need to give the number requiring rooms 28 days before and confirm the details 7 days before.
Dinner

The dinner will cost £30.00 per head and the menu is attached below. There is an optional cheese course . I have been asked to give the number choosing fish three weeks before the event and this would then become a fixed number. The same would apply to anyone choosing to have a vegetarian option. Again, I need to give the number attending the dinner 28 days before and confirm the number 7 days before.

Wine is an individual choice and the cost is not included in the dinner price. I have added a wine list. The hotel has asked for an indication of the wine you will choose so they can ensure sufficient stocks should any be more popular than others. I will pass overall numbers not individual choices.

Dress 
For the dinner on Saturday the dress is jacket and tie.
For the Service on Sunday jacket and tie and coats if required. 
Booking Details

I am afraid I need to ask for a deposit of £10 per head for those attending, which should be sent to me with a completed copy of the attached booking form as soon as you can. Please make the cheque payable to the CCMAA.
